Native integrations are the simplest option when they exist
When two platforms offer a built-in, officially supported integration, this is generally the most stable option, since the vendors maintain compatibility as both platforms update over time. The tradeoff is that native integrations are often limited to the specific fields and workflows the vendors chose to support, which may not cover a business’s full requirements.
Middleware tools solve for flexibility across many platforms at once
Tools like Zapier or Make sit between platforms and let a business build custom logic without writing code, which is valuable when connecting tools that have no native integration with each other, or when the required workflow is more complex than a native integration supports. The tradeoff is an added point of failure and, at scale, real ongoing cost as workflow volume grows.
Direct API integration offers the most control but the highest maintenance cost
Building a custom integration directly against both platforms’ APIs gives full control over exactly how data moves and transforms between them, but it requires development resources both to build and to maintain as either platform’s API changes over time. This is generally worth it only when the integration need is genuinely complex or business-critical enough to justify dedicated ongoing maintenance.
The right choice depends on how critical and how complex the connection is
A simple, standard data sync between two common tools rarely justifies custom API work when a native integration or middleware tool covers it adequately. A business-critical, high-volume, or unusually complex integration often does justify the investment in direct API work. Matching the integration approach to actual complexity and criticality, rather than defaulting to one method for everything, keeps the stack maintainable.
